A new approach for improving work distribution in business processes supported by BPMS

PurposeThe purpose of this paper is regarding the execution of business processes by Business Process Management Systems (BPMS), during design-time modelers have to specify the potential performers of a work activity according to their organizational position or role. Once several workers may share the same role, at run-time all of them (indistinctively) can be assigned by BPMS to execute a work activity. However, distinct individuals have different personality traits and, for certain instances of work (requiring, for example, specific soft skills) some of them might perform better. A new approach to work distribution in business processes supported by BPMS, which takes into account the psychological characteristics of workers was proposed.Design/methodology/approachAs stated in Section 3 of the paper, in this work the Design Science Research (DSR) methodology, as proposed by Kuechler and Vaishnavi (2008) was used. All the five steps, from the “Awareness of problem” to the “Conclusion” were accomplished, being described in the paper.FindingsIt is demonstrated that, by using the proposed approach, BPMS might deliver work to people in a more effective way, by selecting those workers that seem to be more suitable to accomplish each particular piece of work, taking into account the characteristics of the work itself and the specific profiles of the workers eligible to execute it.Originality/valueBPMSs are responsible for the execution of business process models, by delivering work activities to suitable agents (human or artificial), which execute them. Addressing a gap in the BPM literature, this paper presents a new approach for improving work distribution in business processes supported by BPMS, enabling to assign (in run-time) the most suitable workers to perform specific work activities, grounded on the concept of psychological profile and taking into account technical, human and social aspects.

Purpose Business process models describe the way of working in an organization. Typically, business process models distinguish between the normal flow of work and exceptions to that normal flow. However, they often present an idealized view. This means that unexpected exceptions – exceptions that are not modeled in the business process model – can also occur in practice. This has an effect on the efficiency of the organization, because information systems are not developed to handle unexpected exceptions. The purpose of this paper is to study the relation between the occurrence of exceptions and operational performance. Design/methodology/approach The paper does this by analyzing the execution logs of business processes from five organizations, classifying execution paths as normal or exceptional. Subsequently, it analyzes the differences between normal and exceptional paths. Findings The results show that exceptions are related to worse operational performance in terms of a longer throughput time and that unexpected exceptions relate to a stronger increase in throughput time than expected exceptions. Practical implications These findings lead to practical implications on policies that can be followed with respect to exceptions. Most importantly, unexpected exceptions should be avoided by incorporating them into the process – and thus transforming them into expected exceptions – as much as possible. Also, as not all exceptions lead to longer throughput times, continuous improvement should be employed to continuously monitor the occurrence of exceptions and make decisions on their desirability in the process. Originality/value While work exists on analyzing the occurrence of exceptions in business processes, especially in the context of process conformance analysis, to the best of the authors’ knowledge this is the first work that analyzes the possible consequences of such exceptions.

Purpose – In organizations, individual user’s compliance with business processes is important from a regulatory and efficiency point of view. The restriction of users’ choices by implementing a restrictive information system is a typical approach in many organizations. However, restrictions and mandated compliance may affect employees’ performance negatively. Especially when users need a certain degree of flexibility in completing their work activity. The purpose of this paper is to introduce the concept of directive explanations (DEs). DEs provide context-dependent feedback to users, but do not force users to comply. Design/methodology/approach – The experimental study used in this paper aims at investigating how DEs influence users’ process compliance. The authors used a laboratory experiment to test the proposed hypotheses. Every participant underwent four trials for which business process compliance was measured. Two trial blocks were used to cluster the four trials. Diagrammatic DEs were provided in one of the trial blocks, while textual DEs were provided in the other. Trial blocks were counterbalanced. Findings – The results of the experiment show that DEs influence a user’s compliance, but the effect varies for different types of DEs. The authors believe this study is significant as it empirically examines design characteristics of explanations from knowledge-based systems in the context of business processes. Research limitations/implications – This study is certainly not without limitations. The sample used for this study was drawn from undergraduate information systems management students. The sample is thus not representative of the general population of organizations’ IT users. However, a student sample adequately represents novice IT users, who are not very familiar with a business process. They are particularly suitable to study how users react to first-time contact with a DE. Practical implications – The findings of this study are important to designers and implementers of systems that guide users to follow business processes. As the authors have illustrated with a real-world scenario, an ERP system’s explanation can lack details on how a user can resolve a blocked activity. In situations in which users bypass restricted systems, DEs can guide them to comply with a business process. Particularly diagrammatic explanations, which depict actors, activities, and constraints for a business process, have been found to increase the probability that users’ behavior is business process compliant. Less time may be needed to resolve a situation, which can result in very efficient user-system cooperation. Originality/value – This study makes several important contributions to research on explanations, which are provided by knowledge-based systems. First, the authors conceptualized, designed, and investigated a novel type of explanations, namely, DEs. The results of this study show how dramatic the difference in process compliance performance is when exposed to certain types of DEs (in one group from 57 percent on the initial trial to 82 percent on the fourth trial). This insight is important to derive design guidelines for DE, particularly when multimedia material is used.

Purpose Sustainability is an accepted measure of business performance, with reductions in energy demand a commonly practised sustainability initiative by multinational corporations (MNCs). Traditional energy models have limited scope when applied to the entire MNC as the models exhibit high data and time intensity, high technical proficiency, specificity of application and omission of non-manufacturing activities. The purpose of this paper is to propose a process centric energy model (PCEM), which adopts a novel approach of applying business processes for business energy assessment and optimisation. Business processes are a fundamental requirement of MNCs across all sectors. The defining features of the proposed model are genericity, reproducibility, minimum user input data, reduced modelling time and energy evaluation of non-manufacturing activities. The approach forwards the adoption of Industry 4.0, a subset of which focuses on business process automation or part thereof. Design/methodology/approach A quantitative approach is applied in development of the PCEM. The methodology is demonstrated by application to the procure to pay and electroplating business processes. Findings The PCEM quantifies and optimises the business energy demand and associated carbon dioxide emissions of the procure to pay and electroplating business processes, validating the application of business processes. The application demonstrates minimum user inputs as only equipment operational parameters are required and minimum modelling time as business process models and optimisation options are pre-defined requiring only user modification. As MNCs have common business processes across multiple sites, once a business process energy demand is quantified, its inputs are applied as the default in the proceeding sites, only requiring updating. The model has no specialist skills requirement enabling business wide use and eliminating costs associated with training and expert’s services. The business processes applied in the evaluation are developed by the researchers and are not as comprehensive as those in actual MNCs, but is sufficiently detailed to accurately calculate an MNC energy demand. The model databases are not exhaustive of all resources found in MNCs. Originality/value This paper provides a new approach to MNC business energy assessment and optimisation. The model can be applied to MNEs across all sectors. The model allows the integration of manufacturing and non-manufacturing activities, as it occurs in practice, providing holistic business energy assessment and optimisation. The model analyses the impacts of the adoption of Industry 4.0 technologies on business energy demand, CO2 emission and personnel hours.

Purpose – Context-awareness has emerged as an important principle in the design of flexible business processes. The goal of the research is to develop an approach to extend context-aware business process modeling toward location-awareness. The purpose of this paper is to identify and conceptualize location-dependencies in process modeling. Design/methodology/approach – This paper uses a pattern-based approach to identify location-dependency in process models. The authors design specifications for these patterns. The authors present illustrative examples and evaluate the identified patterns through a literature review of published process cases. Findings – This paper introduces location-awareness as a new perspective to extend context-awareness in BPM research, by introducing relevant location concepts such as location-awareness and location-dependencies. The authors identify five basic location-dependent control-flow patterns that can be captured in process models. And the authors identify location-dependencies in several existing case studies of business processes. Research limitations/implications – The authors focus exclusively on the control-flow perspective of process models. Further work needs to extend the research to address location-dependencies in process data or resources. Further empirical work is needed to explore determinants and consequences of the modeling of location-dependencies. Originality/value – As existing literature mostly focusses on the broad context of business process, location in process modeling still is treated as “second class citizen” in theory and in practice. This paper discusses the vital role of location-dependencies within business processes. The proposed five basic location-dependent control-flow patterns are novel and useful to explain location-dependency in business process models. They provide a conceptual basis for further exploration of location-awareness in the management of business processes.

PurposeThe purpose of this paper is to develop a new approach to investigate complex processes, such as software development processes, using business process modeling.Design/methodology/approachThe paper presents an investigation into the use of role activity diagramming (RAD) to model complex processes in the software industry sector, with reference to the process of TestWarehouse as a case study.FindingsSystematic extension and quantitative analysis to RAD models led to the discovery of process bottlenecks, identification of cross functional boundary problems, and focused discussion about automation of processes.Research limitations/implicationsFurther work is required to validate and evaluate the proposed approach using several cases with different application domains and thus generalize the adopted approach.Practical implicationsA new approach has been used successfully to understand and analyze business processes. The tools and techniques that are used to perform the approach are not complicated and do not need much specialist expertise, so the approach is not only oriented toward specialists but also toward organizations' managers and staff.Originality/valueNew techniques have been developed by using process modelling to deepen the understanding and analyzing of complex organizational processes. This research implements a practical investigation which uses a case study to validate the new techniques.

PurposeSecurity requirements play an important role in software development. These can be specified both in enterprise architecture models and in business processes. Enterprises increasingly carry out larger amounts of business processes where security plays a major role. Business processes including security can be automatically obtained from enterprise architecture models by applying a model-driven architecture approach, through a CIM to CIM transformation. The aim of this article is to present the specification of transformation rules for the correspondence between enterprise architecture and business process model elements focusing on security.Design/methodology/approachThis work utilizes motivational aspects of the ArchiMate language to model security in the business layer of enterprise architectures. Next, a set of transformation rules defined with the Atlas Transformation Language are utilized to obtain the correspondence of the enterprise architecture elements in a business process, modelled with a security extension of BPMN.FindingsA total of 19 transformation rules have been defined. These rules are more complex than element to element relations, as they take into consideration the context of the elements for establishing the correspondence. Additionally, the prototype of a tool that allows the automatic transformation between both models has been developed.Originality/valueThe results of this work demonstrate the possibility to tackle complex transformations between both models, as previous literature focuses on semantic correspondences. Moreover, the obtained models can be of use for software developers applying the model-driven approach.

Purpose Generic business process models for the supply chain do not cover the specific requirements of the cold chain catering to the needs of temperature-sensitive, perishable goods. The purpose of this paper is to draft a reference model specific to the cold chain. Design/methodology/approach Following an object-oriented modeling approach, conceptual elements that have been synthesized from a literature review are transferred into the static view (object model) of the reference model. In addition, the reference model’s dynamic properties representing the business process view are outlined. Findings While a few atomic process steps are sufficient to model the cold chain’s dynamic properties, the complexity of the cold chain lies in the object model. The classes of the object model are highly interrelated and cover four domains: perishable product, information technology, infrastructure/equipment and regulatory framework. This technical approach is more adequate to the complex nature of cold chains than typical business process models. Research limitations/implications In the present draft status, the reference model is limited by the pure conceptual approach of this paper. As it is in the nature of things for a draft of a reference model, case studies to challenge the draft and a discourse of experts are required before detailed specifications can be added or any software implementation can be started. It is expected that the reference model is able to substantially support further research on cold chain design and optimization. Practical implications The cold chain reference model is intended to be a standard toolbox for planning and evaluating cold chains. By integrating the technical, information technology and regulatory objects behind the business processes, it allows to design and analyze cold chains from a more holistic perspective. Originality/value To the best knowledge of the author, this paper is the first to outline a reference model for the cold chain that goes beyond the business processes.

PurposeThe purpose of this paper is to present a business process measurement framework for the evaluation of a corpus of business processes modelled in different business process modelling approaches. The results of the application of the proposed measurement framework will serve as a basis for choosing business process modelling approaches.Design/methodology/approachThe approach uses ideas of the goal question metric framework to define metrics for measuring a business process where the metrics answer the questions to achieve the goal. The weighted sum method (WSM) is used to aggregate the measure of attributes of a business process to derive an aggregate measure, and business process modelling approaches are compared based on the evaluation of business process models created in different business process modelling approaches using the aggregate measure.FindingsThe proposed measurement framework was applied to a corpus of business process models in different business process modelling approaches and is showed that insight is gained into the effect of business process modelling approach on the maintainability of a business process model. From the results, business process modelling approaches which imbibed the principle of separation of concerns of models, make use of reference or base model for a family of business process variants and promote the reuse of model elements performed highest when their models are evaluated with the proposed measurement framework. The results showed that the applications of the proposed framework proved to be useful for the selection of business process modelling approaches.Originality/valueThe novelty of this work is in the application of WSM to integrate metric of business process models and the evaluation of a corpus of business process models created in different business process modelling approaches using the aggregate measure.

Purpose Changes in workflow relevant data of business processes at run-time can hinder their completion or impact their profitability as they have been instantiated under different circumstances. The purpose of this paper is to propose a context engine to enhance a business process management (BPM) system’s context-awareness. The generic architecture provides the flexibility to configure processes during initialization as well as to adapt running instances at decision gates or during execution due to significant context change. Design/methodology/approach The paper discusses context-awareness as the conceptual background. The technological capabilities of business rules and complex event processing (CEP) are outlined in an architecture design. A reference process is proposed and discussed in an exemplary application. Findings The results provide an improvement over the current situation of static variable instantiation of business processes with local information. The proposed architecture extends the well-known combination of business rules and BPM systems with a context engine based on CEP. Research limitations/implications The resulting architecture for a BPM system using a context engine is generic in nature and, hence, requires to be contextualized for situated implementations. Implementation success is dependent on the availability of context information and process compensation options. Practical implications Practitioners receive advice on a reference architecture and technology choices for implementing systems, which can provide and monitor context information for business processes as well as intervene and adapt the execution. Originality/value Currently, there is no multi-purpose non-proprietary context engine based on CEP or any other technology available for BPM, which facilitates the adaptation of processes at run-time due to changes in context variables. This paper will stimulate a debate between research and practice on suitable design and technology.

Purpose Many researchers and practitioners suggest a contingent instead of a “one size fits all” approach in business process management (BPM). The purpose of this paper is to offer a contingency theory of BPM, which proposes contingency factors relevant to the successful management of business processes and that explains how and why these contingencies impact the relationships between process management and performance. Design/methodology/approach The authors develop the theory by drawing on organizational information processing theory (OIPT) and applying an information processing (IP) perspective to the process level. Findings The premise of the model is that the process management mechanisms such as documentation, standardization or monitoring must compensate for the uncertainty and equivocality of the nature of the process that has to be managed. In turn, managing through successful adaptation is a prerequisite for process performance. Research limitations/implications The theory provides a set of testable propositions that specify the relationship between process management mechanisms and process performance. The authors also discuss implications of the new theory for further theorizing and outline empirical research strategies that can be followed to enact, evaluate and extend the theory. Practical implications The theory developed in this paper allows an alternative way to describe organizational processes and supports the derivation of context-sensitive management approaches for process documentation, standardization, monitoring, execution and coordination. Originality/value The theoretical model is novel in that it provides a contextualized view on BPM that acknowledges different types of processes and suggests different mechanisms for managing these. The authors hope the paper serves as inspiration both for further theory development as well as to empirical studies that test, refute, support or otherwise augment the arguments.
