Purpose This paper discusses the importance of effectively engaging people in sharing information and managing its implementation across organisations as a key part of successful change initiatives. Design/methodology/approach Consideration why information is important to an organisation and how people and space contribute to its current and future effective management. Findings How flexibility of working practices and the creative management of physical and virtual space empowers and enables change in innovating new working practices. Research limitations/implications How creative thinking contributes to flexibility and streamlining of established practices to achieve effective information management. There is no “final answer” – it is an ongoing iterative process which depends on people engagement for continued success. Practical implications Within a working environment of ongoing change, it is important that the value of engaging people in organisational change is embedded as a key part of assuring continuing successful outcomes. Social implications The methods of engaging people in successful change need to be carefully considered to maximise overall outcomes reflecting a “hearts and mind” perspective. Approaches used are often individual to different groups within wider communities. All contribute to achieving effective change outcomes across a whole organisation. Originality/value Today’s information age is ever changing. People are an organisations best asset. An effective information management system enables a flexible, agile and response to access data, develop information and progress knowledge to build ongoing sustainability.

Purpose More and more governmental organizations are switching to information systems to enhance their operations and reduce cost but the development of these systems involves a lot of challenges. This paper aims to find out the challenges that project managers have to face during the development of such systems and the practices they can adopt to address these challenges. Design/methodology/approach To identify the challenges, data have been gathered across six key project management areas. The six targeted key areas are project integration management, project scope management, project time management, project cost management, project human resource management and project communications management. The authors have coordinated with 11 managerial-level IT professionals using semi-structured interviews and have gone through their communication archives. Findings Findings prove that practices such as focusing on cost reduction, informal congregations, trainings and frequent communication between vendor and client help in addressing the challenges. Furthermore, learning from management experiences of the managers can assist managers in similar role to create a pattern of success while working with governmental projects. Originality/value The authors peek into the development life cycle of a public sector project named as prison information management system. The project has encountered numerous challenges and has been accomplished in significantly delayed time than designated.

Purpose To foster effective implementation of building information modelling (BIM), it is guided by standards and protocols that require files naming in a format, containing a string of letters and digits in a tightly defined manner, which is perceived to be time-consuming, error-prone and serves as a barrier to BIM adoption. This paper aims to present a BIM-based plug-in solution (Auto-BIMName) that facilitates automated naming in compliance with BIM standards. Design/methodology/approach The Auto-BIMName portal has an information management system (IMS) for generating a master information delivery plan (MIDP), which serves as pre-requisites to effective file naming. Once the naming schema is implemented through text input controls for a project name, volume, level and number, the Revit plugin communicates with its IMS to fetch the name string or concatenate the string in line with the ISO 19650 convention, where the IMS is unused. The system was validated through a simulated collaborative project. Findings System testing and evaluation confirmed that the Auto-BIMName will ease the process of file naming, thereby facilitating collaboration efficiency, naming consistency across project teams and lifecycle stages, ease of file naming, time-saving and inducement for BIM implementation, etc. By linking information from MIDP in the BIM execution plan, the platform enhanced information management processes and improved coordination across project teams and lifecycle stages. Originality/value Apart from demonstrating how the automated naming platform enhances project performance, information management and coordination, the paper provides a practical demonstration of how the construction industry will benefit from enhanced digitalisation and process automation.

Purpose The purpose of this technical paper is to evaluate the emerging standard “Allotrope Data Format (ADF)” in the context of digital preservation at a major US academic library hosted at Brigham Young University. In combination with the new information management system ZONTAL Space (ZS), archiving with the ADF is compared with currently used systems CONTENTdm and ROSETTA. Design/methodology/approach The approach is a workflow-based comparison in terms of usability, functionality and reliability of the systems. Current workflows are replaced by optimized target processes, which limit the number of involved parties and process steps. The connectors or manual solutions between the current workflow steps are replaced with automatic functions inside of ZS. Reporting functionalities inside of ZS are used to track system and file lifecycle to ensure stability and data preservation. Findings The authors find that the target processes leveraging ZS drastically reduce complexity compared to current workflows. Archiving with the ADF is found to decrease integration complexity and provide a more robust data migration path for the future. The possibility to enrich data automatically with metadata and to store this information alongside the content in the same information package increases reusability of the data. Research limitations/implications The practical implications of this work suggest the arrival of a new information management system that can potentially revolutionize the archiving landscape within libraries. Beyond the scope of the initial proof of concept, the potential for the system can be seen to replace existing data management tools and provide access to new data analytics applications, like smart recommender systems. Originality/value The value of this study is a systematic introduction of ZS and the ADF, two emerging solutions from the Pharmaceutical Industry, to the broader audience of digital preservation experts within US libraries. The authors consider the exchange of best practices and solutions between industries to be of high value to the communities.

As appointed to represent the Indonesian government for managing entire upstream oil and gas business and operations throughout Indonesia, the Special Task Force For Upstream Oil and the Gas Business Activities Republic of Indonesia or known as SKK Migas, have established a vision to integrate monitoring all Production Sharing Contract (PSC) operators in Indonesia, transforming the conventional-manual approach—which was previously less effective and efficient, into an online integrated monitoring system. It is motivated by the digital transformation trend in the industrial world, which brings a new wave of opportunities to raise effectiveness and efficiency. However, the challenges are not easy. Despite the fact that Indonesia’s oil and gas industry has been operating for a long time ago, various technologies, some of which have used old technology, are the actual conditions that must be handled. Therefore, a systematical strategy is required. Step by step approach, by integrating real-time connections of plant information management systems are proposed to incorporate the major production systems, which are responsible for producing more than 80% of 6.600 million standard cubic feet of gas per day and 700 thousand barrels of oil per day, from major oil and gas companies in Indonesia. The system was successfully built, which provides integrated real-time monitoring dashboards of major upstream operations in Indonesia and connected online with automatic reporting systems and early warning systems. The system’s dashboards and notifications give flexibility in connection, which can be accessed anytime and anywhere if an internet connection is available. During the pandemic COVID-19, which restricts inspection activities to the fields, the system is proven effective in monitoring points of view without losing supervision over the operational aspects, which assurances the achievement of the executed programs. In conclusion, the contribution of the presented work is the digital transformation in the oil and gas sector in Indonesia in terms of operational supervision, which successfully creates a collaborative working environment in managing the oil and gas production target achievement. It changes the interaction between government and PSC operator companies regarding data capture and process monitoring, bringing a new era in supporting the decision-making process.

Purpose Interdisciplinary linkage of information is an emerging topic to create knowledge by collaboration of experts in diverse domains. New insights can be found by using the combined techniques and information when people have the chance to discuss and communicate on a common basis. Design/methodology/approach This paper describes RMS Cloud, an information management system which allows distributed data sources to be searched using dynamic joins of results from heterogeneous data formats. It is based on the well-known Mediator architecture, but reverses the connection of the data sources to grant data owners full control over the data. Findings Data owners and learners are enabled to retrieve information and to cross-connect domain-extrinsic knowledge and enhances collaborative learning with a search interface that is intuitive and easy to operate. Originality/value This novel architecture is able to connect to differently shaped data sources from interdisciplinary domains into one common retrieval interface.

PurposeThe engineering education accreditation (EEA) is a principal quality assurance mechanism. However, at many education institutions, the most labor-intensive work of EEA process is accomplished manually. Without the support of computer and information technology, the EEA process leads to high labor intensity, low work efficiency and poor management level. The purpose of this paper is to build a complex network model and realize an information management system of talent training program for supporting the EEA process.Design/methodology/approachBased on polychromatic graph (PG), this paper builds a network model of talent training program for engineering specialty. The related information and data are organized and processed in this network model. From the bidirections of top-down and bottom-up, the user requirements are retrieved automatically in logic layer. Together with the specialty of mechanical engineering, the proposed PG-based network modeling method is applied and the corresponding information management system is realized.FindingsThe study results show that the PG-based network modeling method takes full advantages of the strong simulation ability of PG to model the complex network system and has some unique merits in formal expression of problem, efficient processing of information and lightweight realization of system. Further, the information management system of talent training program can reduce the tedious human labor and improve the management level of EEA process dramatically.Originality/valueThis paper proposes a PG-based network modeling method, in which the nodes and the edges can be painted by some unified colors to describe the different kinds of activities and the various types of interactions. Theoretically, this modeling method does not distinguish the activities, the interactions and their properties in graphic symbol and the problem size is diminished about a half. Furthermore, this paper provides an effective experience and idea to the education institutions for implementing the engineering education accreditation, increasing the education management efficiency and promoting the talent training quality.

PurposeThe purpose of this study is to investigate the key features of information management systems (IMSs) for automation in university libraries. This study also highlights the use of library information management systems in university libraries and the satisfaction of university librarians in using various IMS.Design/methodology/approachThis study is quantitative in nature. A survey research method has been applied to achieve the research objectives. Purposive sampling has been used to select the targeted population which consisted of 157 librarians working in university libraries. Data were collected through a web-based questionnaire. Descriptive and inferential statistics were applied to analyze the collected data by using SPSS software.FindingsFree and open source software are widely used in university libraries to manage the bibliographic information of library material. KOHA is the most used software for library automation in university libraries of Pakistan. The key features of library information management system (IMS) include reliability and security of the software, user-friendly interface, advance searching options, use of library standards (MARC, Uni MARC, RDA), online upgradation, technical support of developing company, shared cataloging, multilingual features of software, etc (See Figure 4). The study recommends that the above-mentioned features must be considered by university librarians when selecting any software for library automation. Results showed that apart from the use of KOHA software, there are also some other software which are being used for library automation in university libraries of Pakistan. These systems include; Virtua, Library Management System (LMS), and Library Information Management Systems (LIMSs).Practical implicationsThis study has practical implications for university librarians in Pakistan as well as in other countries. Librarians can use the results of this study as a blueprint before selecting any information management system to automate the library record.Originality/valueThis study identifies the core features of IMS for automation in libraries. These features have been recommended by informational professionals who have been working in automated libraries and possess adequate professional experience in using library automation software.

Purpose This study aims to explore the impact of applying a blockchain-based information system in the international students’ administrative workflow in the context of a public research university in the USA. Design/methodology/approach Specifically, a prototype of the blockchain-based information system was developed and tested. The system has the potential advantages of being more efficient, more transparent, faster and safer. Findings The results show that digital registration could increase student registration efficiency with a blockchain-based application. Research limitations/implications There are also some limitations of this study. As an early exploration of the use of blockchain technology in higher education, this study could be further extended in several aspects: different institutions (e.g. private vs public school) may have different operational strategies towards international student affairs. The different administrative processes should be discussed in the context of different institutions, and thus the proposed system should be tested and evaluated based on the requirements of different institutions. Use experience and feedback from different users such as university administrators and students should be considered and investigated with respect to the necessary improvement of the proposed system. The extensibility and scalability of the system should be assessed to accommodate any potential modifications of the administrative process. Originality/value The findings show that a blockchain-based information management system has the potential to improve data transmission efficiency and protect information privacy.
