This article considers the features of electronic document management at retail trade enterprises of the FMCG-segment. The paper observes the types of document flow at chain companies and examines the process of implementation of electronic document management system. The notions of “electronic document management” and “electronic data interchange” are also distinguished in the article. The paper explores positive changes caused by the introduction of electronic document management and the complexity of its implementation. The study reveals that in the Russian Federation the process of mass introduction of electronic document management in the chain retail companies of the FMCG segment has been ongoing for about ten years, though has reached the highest level of its activity in the last two years. At present day, the major part of chain retail companies in the FMCG-segment has already started to actively work with the Electronic Data Interchange system. Moreover, in recent years the number of partner-enterprises that join this system has been steadily increasing. The results of the study show that introduction of electronic document management in chain companies of the FMCG-segment allows to reduce the time spent for processing documents and to track all stages of the core business processes more effectively. It also ensures information security, improves staff discipline and the quality of service, which in its turn significantly improves management efficiency of the company in general.

This case study serve as exemplar regarding what can go wrong with the implementation of an electronic document management system. Knowledge agility and knowledge as capital, is outlined against the backdrop of the information society and knowledge economy. The importance of electronic document management and control is sketched thereafter. The literature review is concluded with the impact of human resource management on knowledge agility, which includes references to the learning organisation and complexity theory. The intervention methodology, comprising three phases, follows next. The results of the three phases are presented thereafter. Partial success has been achieved with improving the human efficacy of electronic document management, however the client opted to discontinue the system in use.

The priority goal of most companies in the process of formation of financial data on the availability and movement of accounts receivable is to reduce its time with no loss of quality. The goal can be achieved by the optimization of business processes. One of its directions can be electronic document management. The introduction of electronic document management will significantly reduce the processing of contracts, while ensuring acceptable completeness and reliability of information. An automatically generated daily report makes it possible to control receivables and respond to overdue debts. The article considers the process of implementation of the electronic document management system and emphasizes the effectiveness and feasibility of its use in the preparation of information on debtors accounts. One of the key circumstances is that after successful completion of all stages of automation, the implemented system should be constantly refined and improved. This is a major factor in the successful use of electronic document management for receivables management.

An electronic document management system (e-DMS) is an information system that allows creating, distributing, filing, storing, searching, destroying, and archiving documents concerning certain criteria and standards as a critical part of every digital transformation. It is known that correspondence processes in public institutions such as universities are time-consuming activities that increase workload and bureaucracy. Therefore, it is a critical issue to select and implement the suitable e-DMS software which systematically supports institutions in managing the documents they produce in their work processes. This chapter provides decision support to the institutional managers for selecting proper software, the preparation process before the application, transformation stages, and the environmental benefits after the implementation of the system are shown with their workflows through an actual application in a university. Digital transformation of the system provides both environmental and social benefits for institutions beside its material benefits such as time and labour.

While the literature on project management and product development is voluminous, in reality little of it addresses the questions of document management of new organizational procedures to increase project development productivity, and of software development tools required to support and control these procedures. This research study develops a new methodology to integrate project management (activities, milestones, and resources) and document management (responsibilities, authorizations, workflows, archives, and storage). The aim of the integration is threefold. First, it aims to plan and to control activities and documents essential for product development. Second, it aims to ensure the management of documents in terms of responsibilities, authorizations, dissemination, and storage. And third, it aims to trace and locate documents for any type of product. Further, this study shows the value of electronic document management (EDM) in terms of improving the management and communication of concepts and ideas, whether it be for project teams or organizations, for reengineering basic business processes, or for leveraging long-run organizational memory through documents.
