This study investigated records management practices in some selected research institutes in Nigeria within the framework of records life-cycle concepts. The primary aim is to explore how research records are managed and find out whether records management as a valuable resource of research institutes receives the desired attention as regards quality practice, level of implementation among others. Using survey research and stratified random sampling techniques, records management practice questionnaire was designed and used to collect data from two hundred and twenty-three respondents that were randomly selected from six out of the fourteen research institute in South-West, Nigeria. The result showed that, research institutes created and managed all types of records predominantly in paper form (68.4%), while the decentralized system of filing was generally practiced in all the research institutes (98%). Although various filing methods, Simple lists were found to be the main tool used for both records control and retrieval. A high level of records insecurity was found (68%), while records generated were managed manually through filing of hard copies in folders and kept in wooden cabinets, metal cabinet and filing shelves. The management of research records were at great variance with the stipulations of the records life-cycle concept and that research records is yet to attain minimal level or records management implementation. This study recommends that records management practice should be adequately funded; recruiting qualified records managers, and embracing the wide range of opportunities offered by ICT for the management of research records.

The way in which an institution treats its records is crucial for its survival in a rapidly changing society. The purpose of the study was to investigate the records management practices and challenges faced by traditional institutions of leadership and governance in Ga Molepo, Limpopo, South Africa. The researcher employed a cross-sectional survey in order to quantitatively examine the challenges faced by members of traditional councils. A researcher administered questionnaire was used as a data collection tool to study a stratified sample of 35 members from an estimated population of 350. The findings revealed patterns and trends of non-compliance with records management standards and guidelines. Although there were sporadic cases of record keeping, a greater number of respondents revealed that traditional institutions lack the facilities, equipment, education and trained/skilled personnel to apply correct records management procedures in their daily administration of their traditional communities. The main value of the study is to create awareness of records management as one of the neglected areas in traditional institutions – which are by current legislative arrangement, the closest form of leadership and governance for rural communities in light of their relationship with local municipalities and the Department of Cooperative Governance and Traditional Affairs.

Purpose This study aims to explore the principles and practices for managing records with the lens of functional analysis and knowledge management by using a case study that focuses on the experience of implementing records management at a public high school in Hong Kong. Design/methodology/approach A single case study is chosen as the research method for this paper. A series of qualitative interviews and documentary analysis were used to collect and triangulate the qualitative data. Findings The results show that the case school adopted a hybrid top-down and bottom-up approach to record management, facilitate decision-making and manage knowledge. The school adopted the taxonomy provided by the quality assurance framework as the functional classification in a digital archive in the records management system. Practical implications This study provides a set of taxonomy and a hybrid top-down and bottom-up approach to schools for ensuring that accurate information of all school activities is kept and can facilitate an effective and evidence-based, decision-making process. Social implications Identifying taxonomy and management practices for effective documentation in public schools can support planning, assist with organising the continuity of improvement plans and increase reporting and accountability to society. Originality/value This study offers a taxonomy and management approach to the literature of records management and the practices for promoting and improving records management in school.

This study was conducted to ascertain records management practices at the Ghana Communications Technology University (formerly Ghana Technology University College) a mid-sized Ghanaian public university located in Accra. All the staff at the Admissions and Records departments participated in the study. This comprised two (2) heads of department and seven (7) senior staff from both departments. The face-to-face interviews were employed as a data collection instrument for this study. The findings indicated that the University has neither a policy to regulate the management of students' records nor a professional archivist to manage records. However, the head of the Records office was given a three-day training on the assumption of office. It was revealed that the head of admissions, as well as all the staff of the two departments, had never been given any training. There were some challenges impeding records management in the Admissions and Records offices– among them are; lack of adequate staff, inadequate storage equipment, lack of periodic training, lack of policy to guide records management and inability of students to furnish the Admission office with the needed information. It was recommended that the University should employ a professional archivist to manage student records, provide adequate storage facilities, organise periodic training for staff as well promulgate a policy to guide records management in the Admissions and Records offices. The fourth industrial revolution (4IR) has ushered in several emerging and disruptive technologies. Southern Africa's records management practices have for a long time been reported to lag behind in embracing new technologies. Several studies have revealed lack of requisite skills to manage electronic records while others still lament the un-procedural management of paper records. The intention of this chapter is, therefore, to initiate a discourse that challenges information management practitioners to embrace disruptive technologies lest they themselves get disrupted. There are several emerging technologies, but this chapter focuses on blockchain technology and its possible benefits for records management. Guided by the technology acceptance model, the study established that archivists and records managers in Botswana and Zimbabwe would adopt blockchain if it is easy to use and useful for records management. The chapter ends by proposing a model for the adoption of blockchain technology for records management.
