Background: This article is part of a doctoral research study that, amongst others, assessed e-records readiness and examined the current records management practices in labour organisations in Botswana.Objective: The main objective of the study was to examine records management practices in labour organisations in Botswana.Methods: A quantitative paradigm largely guided this study. The researchers used a survey research strategy. Methodological triangulation of both quantitative and qualitative data collection methods complemented the strategy. The researchers surveyed all of the 50 registered labour organisations in Botswana. Of these, 45 responded. This is a response rate of 90%. The researchers obtained their data through structured questionnaires, semi-structured interviews, document reviews and observations.Results: The study showed that labour organisations in Botswana had some form of records management function. However, the management of both paper-based and electronic records was not satisfactory and fell short of the best-recognised records management standards and practices.Conclusion: Although the researchers limited the study to labour organisations, it sheds light on the challenges of managing records that most organisations in Botswana face. Its results provide useful strategic recommendations to promote effective records management in labour organisations in Botswana and elsewhere in Africa.

Purpose This study aims to explore the principles and practices for managing records with the lens of functional analysis and knowledge management by using a case study that focuses on the experience of implementing records management at a public high school in Hong Kong. Design/methodology/approach A single case study is chosen as the research method for this paper. A series of qualitative interviews and documentary analysis were used to collect and triangulate the qualitative data. Findings The results show that the case school adopted a hybrid top-down and bottom-up approach to record management, facilitate decision-making and manage knowledge. The school adopted the taxonomy provided by the quality assurance framework as the functional classification in a digital archive in the records management system. Practical implications This study provides a set of taxonomy and a hybrid top-down and bottom-up approach to schools for ensuring that accurate information of all school activities is kept and can facilitate an effective and evidence-based, decision-making process. Social implications Identifying taxonomy and management practices for effective documentation in public schools can support planning, assist with organising the continuity of improvement plans and increase reporting and accountability to society. Originality/value This study offers a taxonomy and management approach to the literature of records management and the practices for promoting and improving records management in school.

This chapter is based on a study prompted by concerns about delayed cases in Namibian magistrate courts. The purpose was to examine the prevailing records management practices. The study was conducted in seven regions which were purposively selected based on location or population. Data was collected by means of observations and face-to-face interviews. The study revealed that: some magistrate courts did not adhere to records management standards resulting in an absence of a records management policy, classification schemes, retention schedules, shortage of storage space, lack of physical security and untrained record staff. The study recommends employment of trained records personnel; staff awareness in the management of the Namibia Case Information System (NAMCIS); install CCTV and maintain air conditioners in records storage facilities; ensure that the National Archives of Namibia fast tracks the process of approving requests for transfer or destruction of magistrate courts' records; and uphold records management standards.

This study investigates the role of records surveys in the management of public registry. The ultimate goal was to know how effective records surveys in enhancing records management practices in organizations. This study uses interview as an instrument to achieve the desired goals, to inculcate a sound record management practice in the public registry. Records surveys are a critical exercise aimed at achieving proper records management practices. This is because the amount of records in an organization is growing rapidly. Managing growth and the variety of content and location is a complex process. Records surveys are indispensable as a benchmark to make an effective records management practice.

Missfile can inhibit medical services provided to patients without information about history. From the initial survey, it found 90 missile incidents (4.7%) from 2000 medical record documents, the second survey found 578 incidents from 7000 medical record documents with 9.0% missfile. This study aims to identify the medical records management in the outpatient filing section of The Private Hospital, Semarang Regency in 2019. This research is a mix methode study. Data collection by observation and interview methods with a cross-sectional approach. The research subjects were 3 filing officers. The research objects to the management of medical record documents in the outpatient filing section. The research instrument used in this research were interview and observation guidelines.The number of polyclinics at The Private Hospital in Semarang Regency is 20 polyclinics. There should be a submission terminal so staff will not be tired. The hospital management facilities were adequate but have not been properly utilized by the officers, the officers should use these facilities to facilitate document tracking. The Hospital should make a policy regarding the management of medical record documents and use colour codes on the documents so that the staff can understand and carry out their duties properly.Key Word : medical record management, storage systems, management standards

AbstractPurposeThis research project aims to organize the archival information of traditional Korean performing arts in a semantic web environment. Key requirements, which the archival records manager should consider for publishing and distribution of gugak performing archival information in a semantic web environment, are presented in the perspective of linked data.Design/methodology/approachThis study analyzes the metadata provided by the National Gugak Center’s Gugak Archive, the search and browse menus of Gugak Archive’s website and K-PAAN, the performing arts portal site.FindingsThe importance of consistency, continuity, and systematicity—crucial qualities in traditional record management practices—is undiminished in a semantic web environment. However, a semantic web environment also requires new tools such as web identifiers (URIs), data models (RDF), and link information (interlinking).Research limitationsThe scope of this study does not include practical implementation strategies for the archival records management system and website services. The suggestions also do not discuss issues related to copyright or policy coordination between related organizations.Practical implications:The findings of this study can assist records managers in converting a traditional performing arts information archive into a semantic web environment-based online archival service and system. This can also be useful for collaboration with record managers who are unfamiliar with relational or triple database system.Originality/valueThis study analyzed the metadata of the Gugak Archive and its online services to present practical requirements for managing and disseminating gugak performing arts information in a semantic web environment. In the application of the semantic web services’ principles and methods to an Gugak Archive, this study can contribute to the improvement of information organization and services in the field of Korean traditional music.

In the organization's strategic management, internal communication is one of the main components enabling the strategic management process to be carried out. Its role is important in both the planning and implementation of the strategy. Still, in practice, the internal communication’s potential remains untapped, resulting in the pursuit of organizations' strategic objectives. In developing the doctoral thesis, the author has an interest in investigating not only businesses, but also higher education institutions (HEIs), as they are similar organizations to other sectoral institutions, and their processes must be similar. The purpose of this study is to analyse who currently manages the internal communication function of four Latvian regional universities and to what extent the internal communication can be considered strategic. The study reviews international literature on the strategic management of organizations and the strategic management of internal communication. It uses a combined research strategy involving questionnaires and semi-structured interviews with respondents indicating that their university has developed an internal communication strategy.The results show that the internal communication management practices of universities differ since some universities do not clearly define the purpose of internal communication, strategies, and plans, as well as those which merely indicate the existence of internal communication management practices. In all four universities, specialists carry out internal communication in the field of marketing, communication, or human resources management who demonstrate that private business practices are being applied – implementing internal communication in fragmented ways without acknowledging it as a management’s function. The research participants have indicated that internal communication should be managed by the administrative vice-rector. Since the analysed articles show that the employee responsible for the internal communication function should be part of the decision-making process, more in-depth research should be continued which would allow making conclusions whether the administrative vice-rector at the university should take on the strategic management function of internal communication.

This study aims to explore the financial management practices ofsmall-and-medium-enterprises (SMEs) in the Greater Jakarta (Jabodetabek). We investigate into 3 SME cases by conducting the semi-structured interviews with the owner-managers and using direct observations to know the practices of financial management of SMEs. Through the research, we have found six propositions related to the practice of short-term financial management. They apply bootstraps to ensure availability of working capital. They set aside cash reserves from retained earnings and minimize loans from financial institutions. They have the computerized system to track receivables facilitating working capital needs. They keep theirinventory control efficient to manage working capital. They screen customers using transactional records and reputations to minimize the risk of bad debts.

This paper discusses the challenges of records management that arise from the use of adapted buildings as records centres in Zimbabwe, despite the advantages of using such buildings. A qualitative research approach was used as well as a case study research design. Data were collected from seven officers of the Gweru Records Centre through semi-structured interviews. Personal observation was used to triangulate findings from interviews. It was found that the use of adapted buildings as records centres was a cheaper and quicker way of establishing records centres throughout the country. However, a number of preservation, security and management challenges cropped up as the conditions of the buildings and the environment of the adapted buildings were not conducive to the proper and professional management of records. This study is important in that it explores the prospects and challenges of using adapted buildings as records centres in Zimbabwe, an area that has not been researched by many authors. This provokes archival authorities and the government to seriously consider establishing purpose-built records and archival centres.

The way in which an institution treats its records is crucial for its survival in a rapidly changing society. The purpose of the study was to investigate the records management practices and challenges faced by traditional institutions of leadership and governance in Ga Molepo, Limpopo, South Africa. The researcher employed a cross-sectional survey in order to quantitatively examine the challenges faced by members of traditional councils. A researcher administered questionnaire was used as a data collection tool to study a stratified sample of 35 members from an estimated population of 350. The findings revealed patterns and trends of non-compliance with records management standards and guidelines. Although there were sporadic cases of record keeping, a greater number of respondents revealed that traditional institutions lack the facilities, equipment, education and trained/skilled personnel to apply correct records management procedures in their daily administration of their traditional communities. The main value of the study is to create awareness of records management as one of the neglected areas in traditional institutions – which are by current legislative arrangement, the closest form of leadership and governance for rural communities in light of their relationship with local municipalities and the Department of Cooperative Governance and Traditional Affairs.

In the past few decades, digital technology has found a place in the acquisition, arrangement, description, preservation, and dissemination of information. However, heritage institutions are perturbed by the challenges of digital preservation strategies particularly for education. Despite continuous investment in digital preservation, there are limited skilled professionals to equip learners with the knowledge, skills and competencies required to drive digital preservation in Botswana. Therefore, this paper investigated the knowledge, skills and competencies related to digital preservation in the teaching curricula of the Department of Library and Information Studies (DLIS) at the University of Botswana. Data collection was done through intensive structured interviews with specific educators who teach courses on digital preservation in the archives and records management stream. The study revealed that despite the fact that the educators in preservation courses are aware of current trends in digital preservation, most of them have not obtained formal degree certification specific to digital preservation. The findings further revealed that minimal digital preservation competencies are observed in the teaching curricula. A significant number of challenges observed illustrated mainly a lack of resources and limited skills in terms of practical demonstrations by educators. The curricula mostly lacked clarity on long-term and short-term digital preservation. The study recommends that DLIS and other institutions should conduct surveys or curriculum auditing on digital preservation in order to improve the teaching content. A significant number of shortcomings regarding digital preservation that could motivate further studies are also discussed under the conclusion and recommendations section of this study.
